Introduction

  1. Sixth Form students are afforded greater flexibility than students in the lower school. To enable this while safeguarding your wellbeing, it is necessary to accurately record your presence as you come and go from the School site. Our system protects you in the event of an emergency and contributes towards your attendance record at school.
  2. The most common ways to use the ID card system are summarised the the section labelled, 'The Basics'. Other scenarios will be applicable to you from time to time, e.g. What if I have no PM lessons and want to go home? What if I'm ill and need to go home? These are covered in the other sections of this document so that you can refer to the different scenarios when you need to use them.

The Basics

AM Registration

  1. You must register your attendance immediately upon arrival in school by placing your ID card onto one of the card readers located in the Sixth Form common room or in main reception. The unit will show your name, and the word ‘In’. This is the equivalent of attending tutor time lower down the school and being registered by your form tutor for the morning.
  2. If you have scheduled activities (e.g. lessons, supervised study, assemblies, a tutor meeting, etc) and do not register via a reader as you come into school, this will be automatically recorded by the System as an unauthorised absence, and will trigger a phone call home by the Sixth Form team to ensure you are safe.

Going off-site at lunch

  1. If you wish to go off-site at lunch (and will be returning), you must place your ID card on a reader when you leave the site. Doing so will show a menu – select ‘Going off-site temporarily’, then ‘Close’ before you leave.
  2. When you return from lunch, place your ID card on a reader to sign back in to school.

PM Registration

  1. If you have a lesson or supervised study period during period 4, your attendance for the afternoon is recorded automatically when a member of staff takes their period 4 register.
  2. IMPORTANT: If you have a ‘free’ during period 4...
    1. If you go off-site for lunch and return before 1:10pm or have chosen to remain on-site throughout lunch, you will need to present your ID card at a card reader between 1:10pm and 1:35pm to be marked as present for the afternoon.
    2. If you go off-site for lunch and return after 1:10pm, afternoon registration will happen automatically as you present your ID card at a reader upon your return to sign back in.
  3. Note: You do not need to present your card at a reader as you leave at the end of School.

Attendance explained

  1. Note: Scheduled activity is a term used to describe scheduled things you must attend such as supervised study periods, lessons, assemblies and tutor meetings.
  2. Your attendance record for each day is made up of two parts: AM and PM registration.
  3. Signing in as you arrive in the morning marks you as present for AM registration and records the first 50% of that day’s attendance; depending on what time your first scheduled activity of the day is, you potentially could arrive up to 11:35am to obtain your AM registration mark.
  4. Teachers and supervised study staff record your PM registration mark by taking a register during period 4 scheduled activities, giving you the second 50% of that day’s attendance. When you have a ‘free’ during P4, placing your ID card on a reader between 1:10pm and 2:25pm will also record your PM registration mark, giving you the second 50% of that day’s attendance.

I’m on a free, and want to leave site temporarily

  1. If you have no scheduled activities in a lesson period, you may wish to go off-site (e.g. early lunch, go to shops, to get a coffee). To sign out, present your ID card at a reader. Depending on the time of day, the unit will either show your name and an ‘out’ message or it may prompt you to provide a reason for signing out. If prompted, select ‘Leaving temporarily’.
  2. Upon your return, place your ID card on the reader. This will show your name and ‘in’ – you are now signed back into the school site.

I’ve left my ID card at home by mistake

  1. If you are registered for cashless catering, the fingerprint reader should work as an alternative to placing your card on the reader until the following day.
  2. You must see a Sixth Form student manager (located upstairs in SFC3) to obtain a temporary ID for the day.
  3. If your fingerprint is not registered (or is not recognised by the reader), the Sixth Form Student managers can issue you with a PIN number that can be entered into the card readers to sign in and out instead.

I’ve lost my ID card

  1. Report this to IT support immediately. They will issue you with a new card, and cancel the old one. You can sign in and out for the day with fingerprint or PIN (see previous point).

I accidentally chose the wrong option when signing in/out

  1. This is not a problem, but you must let us know. Place your card in the reader so that it shows you correctly as either ‘in’ or ‘out’, when see the Sixth Form student managers (located upstairs in SFC3) to have your record corrected as required.

I have no lesson P1

  1. As long as you don’t have an assembly, tutor meeting or other scheduled activity, while you’re welcome to do so, you don’t need to come in to school until a few minutes before your first lesson of the morning. Upon your arrival, present your ID card at the reader to sign up and pick up your AM registration mark. You can then make your way to your lesson.

I have no scheduled activities P4 or P5

  1. If you have no scheduled activities in an afternoon, you are able to go home to study for the remainder of the day with no attendance penalty (i.e. maintaining 100% attendance for that day), by signing out with your ID card before 1:10pm and choosing ‘No PM lessons’ or ‘No more lessons today’ from the menu choices.
  2. If you wish to stay on-site during P4, place your card on a reader after 1:10pm to mark yourself as present.
  3. NOTE: Due to limitations of the system, if you wish to sign out to go home for the afternoon after 1:10pm, you must see a sixth-form student manager prior to signing out with your ID card so that your PM registration can be correctly recorded.

It’s enrichment afternoon

  1. Place your card on a reader after 1:10pm to mark yourself as present for your attendance record, then go to your activity.
  2. The activity leader will take a paper register for our internal records.

I’m coming in late

  1. When you use your card on the reader, you may be prompted to provide a reason:
    1. ‘Organisational issue’: Select this if you had to go back to pick up something you forgot, overslept, etc. Your AM registration will be recorded as ‘late’.
    2. ‘Transport Issues’: Select this if you missed the bus, your lift into school was delayed, you had a puncture, etc. Your AM registration will be recorded as ‘late’.
    3. ‘Other’: Select this for anything else. Your AM registration will be recorded as ‘late’.
    4. ‘No AM lessons’: Select this if you had no scheduled activities P1-3 and arriving in advance of afternoon lessons. As long as the system has no scheduled activities recorded for you, your AM registration and attendance statistics for the morning will not be affected.

I feel ill and need to go home

  1. If you wish to go home, you must first notify a Sixth Form Student Manager, located upstairs in SFC3. They will contact home, then update your attendance mark to indicate that you are going home.
  2. As you leave, place your card on the reader and if prompted, select ‘Illness (not returning)’. This will ensure that in the event of a fire, we know that you are not in school.

I’ve got a medical appointment

  1. In advance, notify a Sixth Form Student Manager, located upstairs in SFC3. They will update your attendance mark to indicate that you are going for your appointment.
  2. As you leave, place your card on the reader and if prompted, select ‘Medical/dental appointment’. This will ensure that in the event of a fire, we know that you are not in school.
  3. Upon your return, place your ID card on the reader, so that we know you are in school for fire purposes.

I’ve got a sporting fixture

  1. In advance, notify a Sixth Form Student Manager, located upstairs in SFC3. Once approved, they will update your attendance mark to indicate that you are going to attend. Sign out as you leave school.

I’ve got Wednesday afternoon work experience

  1. You are able to go home to study for the remainder of the day with no attendance penalty (i.e. maintaining 100% attendance for that day), by signing out with your ID card before 1:10pm and choosing ‘No PM lessons’ or ‘No more lessons today’ from the menu choices so that we know you are not here for fire purposes.
